The Role


Under the general direction of the Special Assistant to the President, the Administrative Coordinator serves as a member of an administrative support team and performs a variety of administrative and staff support duties across multiple business units requiring a range of skills a knowledge of organizational policies and procedures.  This work is in support of the mission and goals of Samaritan Daytop Village.

Responsibilities


What You Will Do


Administrative Support & Coordination

  • Completes assignments of an administrative and coordination nature consisting of, but not inclusive of the following:
    • relaying and resolving routine telephone, email or face-to-face inquiries
    • scheduling calendar items and meetings, including travel arrangements
    • processing forms, performing data entry, and establishing and maintaining records
    • assisting in preparing correspondence, presentations and reports and/or edits and proofreading for accuracy
    • coordinates and facilitates meetings, program functions, and/or special events, as appropriate
    • reconciles and submits business expenses
    • places orders for supplies and other needed business-related items
  • Participates as a team member in the implementation and maintenance of procedures and systems, striving for efficiency and transparency.
  • Maintains a team spirit dedicated to providing excellent customer service and support to the Senior Leadership team as a whole.
  • Contributes to a team environment, participating in team meetings and the achievement of team goals and continuous improvement.
  • Assist with facility violations

 

General and Administrative

  • Escalate matters, seek guidance and provides routine reports and updates to immediate supervisor.
  • Maintain professional and technical knowledge by completing trainings and attending educational workshops as appropriate.
  • Maintain confidentiality of all information and matters.
  • Perform other duties as requested by supervisor or designee.

Qualifications


Who You Will Be


  • High School diploma or Equivalent.
  • At least Three (3) years’ experience supporting an Executive level employee OR relevant related work experience.
  • Working knowledge of general office equipment, such as printers, scanners, and fax machines and comfortable utilizing software and technology in general.
  • Computer literacy including proficiency in Microsoft Office Suite.
  • Excellent time management skills and the ability to prioritize work and multi-task.
  • Some flexibility is needed and willingness to stay past the normal shift and/or adjust the schedule to meet tight deadlines.
  • Excellent written and verbal communication skills to interface with internal staff and external contacts.
  • Ability to handle confidential matters and exercise discretion.
