Senior Administrative Coordinator

 

Samaritan Daytop Village provides life-changing services in mental health, addiction recovery, housing, and more to help individuals and families across New York rebuild their lives. We serve over 33,000 clients annually at more than 60 locations throughout the five boroughs, as well as Suffolk, Rockland, Sullivan, Westchester, and Ulster Counties. 

 

The Senior Administrative Coordinator leads a team of administrative coordinators while also providing direct executive support to senior leadership. This role manages workflows, organizes projects, and ensures smooth day‑to‑day operations across multiple business units. Acting as the key liaison between executives and support staff, the Senior Administrative Coordinator drives efficiency, fosters collaboration, and delivers high‑quality administrative services. Ideal candidates bring strong organizational skills, supervisory experience, and the ability to balance hands‑on executive assistance with team leadership. 

 

Responsibilities

  • Supervise and guide a team of Administrative Coordinators (4), a Mailroom Clerk and a Receptionist

  • Ensure workloads are balanced and deadlines are met, incoming and outgoing mail is processed, and the front desk is operating well

  • Keep team projects organized and moving forward, while jumping in to help when needed

  • Set up and improve systems and workflows so tasks are handled smoothly and efficiently

  • Act as the go‑between for senior leadership and the admin team, making sure priorities are clear and communication flows easily

  • Provide direct support to executives with scheduling, correspondence, meeting prep, and handling sensitive information

  • Take ownership of complex or high‑priority projects, ensuring they’re completed on time and aligned with organizational goals

  • Maintain confidentiality and handle sensitive matters with discretion

  • Encourage a positive, service‑oriented team culture that values responsiveness and collaboration

  • Spot opportunities for staff development and support ongoing learning and growth

  • Regularly attend and support, or schedule admin coordinators, for offsite events such as Quarterly Management Meetings, Leadership Academy, and other events 

Qualifications

  • High School Diploma or GED required, with associate or bachelor's degree preferred 
  • At least 3 years of experience providing direct support to multiple senior executives, preferably in a large multi-site non-profit organization 
  • Minimum 2 years of supervisory experience 
  • Strong skills in Microsoft Outlook, Word, Excel, and PowerPoint; experience with project management software a plus 
  • Comfortable using technology and software tools to streamline workflows and manage tasks 
  • Proven ability to handle confidential information with discretion 
  • Excellent organizational, communication, and problem‑solving skills 
  • Ability to balance hands‑on executive support with team leadership in a fast‑paced environment 

Additional Information 

 

This is a full-time exempt role with a salary of $65,000-$85,000 with a full benefits package. Benefits include medical, dental, and vision insurance, 25 days of paid time off, access to a retirement account with an employer to match, and tuition reimbursement.  

 

This role is located in Briarwood, Queens with an expectation of working from the office or a program site 4 times per week. Regular travel to offsite meetings within the 5 boroughs is required, likely 1-2 times per month.
