The Role


Under general supervision, responsible for performing high-level administrative and customer service functions for both outpatient and residential treatment services. This position serves as a first point of contact for internal and external stakeholders and helps ensure a smooth admissions process.

 

Responsibilities


What You Will Do


          Serve as a primary administrative support to the Central Admissions team, including Program              Director and Intake Coordinators.

    • Communicates regularly or as needed with management and operational staff for all programs at Richard Pruss Wellness Center and Residential Programs.
    • Maintains calendars for clinical staff. Sets up appointments, schedules meetings and coordinates schedules for department.
    • Prepare, scan, upload, and manage intake and admissions documentation in electronic health record systems and shared databases.
    • Assist with coordination of replacement screenings in the event of no-shows or cancellations.
    • Schedule and confirm intake screenings for outpatient and residential; track attendance, cancellations, and reschedules.
    • Communicate professionally with referral sources, treatment programs, courts, and internal departments.
    • Participate in team meetings and trainings, as assigned.
    • Main­tains accurate work and appointment schedules.
    • Answers phones in a professional manner, screens calls, directs calls to appropriate person and takes accurate complete mes­sages when necessary for all programs at Richard Pruss Wellness Center.
    • Distribute routine admissions related correspondence and reports as requested.
    • Performs other related administrative duties as needed to support admissions operations.

     

 

Qualifications


Who You Will Be


  • High School diploma or GED required; Associate degree preferred.
  • Minimum of 1-2 years of administrative experience, preferably in healthcare, behavioral health, or human services.
  • Computer proficiency with working knowledge of Microsoft Office applications (Excel, PowerPoint, Word, Outlook)
  • Effective communication and writing skills.
  • Good people skills with the ability to interact professionally with staff, clients, and external stakeholders.
  • Strong attention to detail and accuracy.
  • Effective time management, follow-through, and meeting deadlines in a challenging environment.
  • Ability to work independently and collaboratively within a multidisciplinary team.
  • Professional judgment and discretion.
