Procurement and Inventory Clerk
Samaritan Daytop Village provides life-changing services in mental health, addiction recovery, housing, and more to help individuals and families across New York rebuild their lives. We serve over 33,000 clients annually at more than 60 locations throughout the five boroughs, as well as Suffolk, Rockland, Sullivan, Westchester, and Ulster Counties.
The Procurement and Inventory Clerk plays a key role in supporting the smooth operation of procurement and inventory processes across the organization. This position helps ensure that equipment and materials are properly tracked, documented, and aligned with funding requirements. Working closely with various departments and teams, the Procurement and Inventory Clerk provides system assistance to ensure efficient and compliant procurement and inventory processes. The successful Procurement and Inventory Clerk is detail-oriented, organized, and interested in contributing to the behind-the-scenes impact of a mission-driven organization.
Maintain detailed records and documentation of all equipment purchased with government funds, ensuring compliance with funding requirements and internal controls
Conduct regular site visits, in coordination with the Samaritan Daytop Village (SDV) Compliance team, to verify the condition, location, and appropriate use of inventoried equipment
Centrally catalog and track government-funded assets used across SDV departments, including IT, Transitional Housing, Maintenance, and Security
Document and support processes for equipment replacement and disposal, ensuring proper approvals and compliance with agency guidelines
Serve as the first line Help Desk for vendors using the SAP ARIBA system, providing assistance with basic system functions such as document uploads, profile setup, and RFP responses; escalate complex issues as appropriate
Monitor and enforce vendor compliance with documentation requirements, procurement policies, and Samaritan Daytop Village (SDV) regulations
Lastly the PIC will be tasked with conducting market research for various equipment purchases to ensure SDV is receiving the fair pricing from vendors, as well as to remain in compliance with funders when three bidders cannot be secured through the conventional Request for Bids process.
Collaborate with the Budget Department and other teams to support audit readiness, documentation retrieval, and procurement tracking
Perform general administrative support duties related to procurement, inventory management, and compliance tracking
Minimum education of a high school diploma or GED
Minimum of 2 years of experience in inventory management or customer service roles, with experience in human services or social services, preferred
Proven organizational skills with strong attention to detail and accuracy
Ability to manage multiple priorities and deadlines
Demonstrated ability to build and maintain positive relationships with internal staff and external vendors
Excellent teamwork and collaboration skills across departments and role
Strong customer service orientation with a focus on responsiveness and professionalism
Additional Information
This is a full-time non-exempt role with an hourly rate of $27.47-$30.21 (annualized at 35 hours a week to $50,000-$55,000) with a full benefits package. Benefits include medical, dental, and vision insurance, 25 days of paid time off, access to a retirement account with an employer match, and tuition reimbursement. The rate offered within the listed range is dependent on skills, experience, and organizational pay equity.
This role is based out of our headquarters in Queens but will require regular travel throughout the 5 boroughs. This hybrid role works Monday-Friday, with some flexibility around schedule and work location. The exact schedule and work setup will be mutually agreed upon with the Director, Budgets.
